Job Summary

The job purpose of a stock controller is to manage the purchasing and replenishment of the hotel and restaurant products sold without over stocking and running out. A key aspect of the role is maintaining the stock levels within the budget set by the business. Assisting the restaurant team to achieve the required quality service is the KPI for this role. The stock controller’s role includes carrying out sales activities and maintaining store standards.Delivering on these activities will develop sales of the restaurant products and services we offer. All activities will comply with all legal SOPS and professional requirements.

Key Responsibilities

  • Ensure all inventory and stock management systems are maintained accurately, within the agreed parameters and in a timely manner.
  • Stock takes are done every mid-month and month ends accurately.
  • Stock take results to be published by the 5th.
  • Maintain harmonious working relationship with suppliers within the buying parameters set by the business.
  • Complete all necessary stock takes.
  • Ensure all issues and transfers are done correctly daily and in time.
  • Cameras to be checked daily if they in good condition and check book signed.
  • Check all Point of Sale systems daily to see if they working properly.
  • All invoices to be captured and signed properly after receiving deliveries.
  • Variances to be checked daily for discrepancies.
  • Maintain a process for returns .Manage a defined area in the storeroom for returns.
  • All purchase invoices to be attached to the original invoice signed by the GM or assistant GM.
  • Oversee and assume responsibility for the POS system and electronic ordering systems.
  • Observe the correct buying protocols.
  • Observe correct stock receiving protocols.
  • Keep your budget steady.
  • Ensure that all barman are very familiar with the bar procedures.
  • Stock rotation to be checked frequently.
  • Purchase inventory within agreed budgets.
  • Comply with the Lodge’s personal grooming standards.
  • Maintain store standards this includes stock management, cleaning and stock presentation.
  • Comply with all aspects of the Operating Procedures manual.

Key Performance Indicators:

  • Sales: Improvement in total sales is the key objective for all team members.
  • Purchasing budget: Maintain the store purchasing budget as agreed with finance department.
  • Stock levels: Maintain stock levels while at the same time managing the purchasing budget.
  • Store Standards: Your section must be arranged according to your stock sheets.
  • Administration: All administration must be completed to standard and agreed time frames.

Qualifications and Experience

  • Personality- Your personality must be suitable for the role.
  • Attitude: Remember your attitude determines your future.
  • Specific job skills: Experience in managing inventory, or ability to learn this skill. Experience or ability to learn delegation skills.
  • Computer skills: Competent in operation of the POS system, purchasing, Microsoft word and Excel.

Limits of authority

  • Must follow the company’s policies, procedures.
  • Must not participate in serious misconduct as this will lead to termination of employment.
  • Where there is a dispute between yourself and a team member, customers or suppliers this is to be referred to your manager at the earliest instance.
  • Cannot dispose, sell or purchase any products without the approval of the GM.
